OPTI-W ("we", "us", "our") is committed to protecting the privacy and security of the personal information of people who use its opti-w.com website and the services offered in-clinic. This policy explains what information we collect, why and how we use it, with whom we may share it and what your rights are.

It follows Québec's Act respecting the protection of personal information in the private sector (Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

a) Provided directly by you

  • Identification: first and last name, date of birth.
  • Contact details: address, email, phone number.
  • Medical information: visual history, prescription, exam results.
  • Insurance details: insurer name, policy number.
  • The content of messages you send us (contact form, emails).

b) Collected automatically

  • Navigation data (pages visited, duration, device, browser).
  • Approximate IP address and region.

2. Purposes of use

  • Schedule and manage your appointments and reminders.
  • Perform your eye exam and maintain your optometric record.
  • Bill and communicate with your insurer (direct billing when possible).
  • Reply to requests sent via the contact form or by email.
  • Send you, with your consent, marketing communications (promotions, newsletter, SMS).
  • Analyze site usage to improve it.
  • Comply with our legal and regulatory obligations.

3. Legal basis and consent

We collect your information with your consent, or when permitted by law (service delivery, legal obligation, legitimate interests). You may withdraw your consent at any time by writing to info@opti-w.com. Withdrawal may limit our ability to provide certain services.

4. Marketing communications

If you have subscribed to our newsletter or consented to receive promotional SMS, you may unsubscribe at any time using the link in every email, replying STOP to an SMS, or writing to info@opti-w.com.

We do not sell your personal information. We may share it with:

  • Your insurer for billing purposes, with your consent.
  • Service providers who host, maintain or support our systems (web hosting, appointment system, email, analytics). These providers are bound by contract and may only use your data for the agreed purposes.

Some providers may be located outside Québec or Canada. We take reasonable measures to ensure an adequate level of protection.

6. Retention

Clinical records are kept per the requirements of the Ordre des optométristes du Québec and the College of Optometrists of Ontario. Other information is kept as long as needed for the purposes described, then destroyed or anonymized.

7. Security

We put in place reasonable physical, organizational and technological measures to protect your information: access control, encryption in transit (HTTPS), backups, staff training and internal policies.

8. Your rights

Subject to the law, you have the right to:

  • Access your personal information that we hold.
  • Request the correction of inaccurate or incomplete information.
  • Withdraw your consent and request deletion of your data, where possible.
  • File a complaint with Québec's Commission d'accès à l'information (CAI).
